WooCommerce product information management (PIM)

WooCommerce product information management means keeping your product data somewhere other than the WooCommerce product screen, and sending it to the store from there. That somewhere is a PIM, short for product information management system. It holds the titles, descriptions, prices, SKUs, attributes and photos. WooCommerce gets a copy.

For one store with a few hundred products, you probably don’t need a PIM. WooCommerce keeps product data in WordPress, and its product editor handles that fine. Trouble starts when the same products have to live in a second place. That might be another WooCommerce site, a Shopify store, or a supplier spreadsheet that arrives every month. Our guide to product information management covers the general idea. This post is about WooCommerce.

What WooCommerce handles on its own

More than it gets credit for. Out of the box, WooCommerce has:

  • Simple, variable, grouped and external products
  • Global attributes such as color and size, set up once under Products, Attributes and reused on every product
  • Variations with their own SKU, price, stock and image
  • Categories and tags
  • A CSV importer and exporter that can update existing products by ID or SKU
  • Bulk edit for price, sale price, stock, categories, weight and a few other fields

Add a plugin like Advanced Custom Fields and you can store extra product fields too. For a single store, that setup carries a catalog a long way.

Where WooCommerce runs out

Every limit below comes from one fact. Your product data lives in one WordPress database, and WooCommerce was built to run that one store.

A second store means a second copy. Open a wholesale site or a store for another country, and the products have to exist in both databases. Most teams export a CSV from one store and import it into the other, then fix what didn’t come across. After that, every price change happens twice.

Bulk edit stops at the simple fields. You can raise every price by 10% in one go. You can’t rewrite 300 descriptions, fill a missing material attribute across a category, or list every product that has no photo.

Custom fields depend on plugins. Each plugin stores extra fields its own way. Swap the plugin or move to another platform, and that data needs migrating.

Nothing tells you a product is unfinished. WooCommerce will publish a product with no description, no weight and one blurry photo. On a large catalog, finding the gaps means opening products one at a time.

Signs your WooCommerce store needs a PIM

  • You sell the same products on two stores, or on WooCommerce and Shopify
  • A price change means editing more than one admin screen
  • Product data starts in a spreadsheet that someone pastes into WooCommerce
  • More than one person edits products, and nobody is sure which version is right
  • You can’t say how many products are missing a description or a photo
  • Supplier files take a day of cleanup before every import

If only the last one sounds familiar, a better spreadsheet may be enough. If the first two do, you have a sync problem, and WooCommerce on its own won’t fix it.

How a PIM connects to WooCommerce

A PIM talks to WooCommerce through the WooCommerce REST API, like most WooCommerce apps. You start the connection in the PIM. WooCommerce asks you to approve access in your WordPress admin, then hands the PIM a key. There’s no plugin to install on your site.

From then on the PIM creates products in WooCommerce and updates them. A field map decides which PIM field lands in which WooCommerce field. This is the map Sellufy uses:

Sellufy fieldWooCommerce field
Product nameProduct name
DescriptionDescription
SKUSKU
Price and compare priceSale price and regular price
WeightWeight
CategoryProduct categories, created if missing
BrandBrand, created if missing
TagsProduct tags
ImagesProduct gallery
VariantsVariations with their own SKU, price, stock, image
StockStock quantity
Barcode and custom attributesCustom fields

The price row needs a word. When a product has a compare price, Sellufy sends it as the regular price and sends the current price as the sale price. WooCommerce then shows the product as discounted.

Check which way data flows before you commit to any PIM. Sellufy sends data to WooCommerce, and nothing comes back. Change a price in the WooCommerce admin and the next publish from Sellufy overwrites it. So once you have a PIM, you edit products there and nowhere else.

PIM plugin or a PIM outside WordPress

Search for a WooCommerce PIM and you’ll find two kinds of tool.

PIM plugins run inside WordPress. They add better bulk editing, attribute management and data checks to the WooCommerce admin. Your data stays in the same database, which keeps things simple and cheap. It also means the plugin can’t help with a second store or a Shopify store, since it only sees the site it’s installed on.

A PIM outside WordPress keeps product data in its own database and sends it to each store. That’s the setup for selling in more than one place. It’s also one more tool to pay for and learn, so it only makes sense once you have the sync problem.

How Sellufy works with WooCommerce

Sellufy is a PIM with WooCommerce and Shopify built in.

  • Connect a store from the Sellufy dashboard and approve access in WordPress. No plugin.
  • Bring in your current catalog with a CSV import. Sellufy guesses which column is which, and you fix any it gets wrong.
  • Publish one product or a whole batch. Sellufy creates each product in WooCommerce the first time and updates that same product after.
  • Variable products go across as variations, each with its own SKU, price, stock and image.
  • Categories and brands are matched by name, and Sellufy creates any that don’t exist yet.
  • Images come from the built-in DAM, so the photo on WooCommerce is the one in your library.
  • AI enrichment writes missing descriptions and attribute values before you publish.
  • Connect a second WooCommerce store or a Shopify store, and the same product record feeds both.

Sellufy doesn’t pull products out of WooCommerce by itself, and edits made in the WooCommerce admin don’t flow back. Use the CSV import for the first load, then edit in Sellufy.

Free lets you build a catalog of 50 products but doesn’t connect a store. Growth, at $9 a month, connects two stores and holds 250 products. The pricing page lists the larger plans.

Frequently asked questions

Do I need a PIM for one WooCommerce store?

Usually not. If WooCommerce is your only channel and one person edits products, the WooCommerce admin and its CSV tools are enough. A PIM starts paying off with the second channel.

Does a PIM replace WooCommerce?

No. WooCommerce still runs the store, takes orders and handles checkout. The PIM holds the product data and sends it in.

Can one PIM run WooCommerce and Shopify together?

Yes. The product record lives once in the PIM, and each store gets it in its own format. Read Shopify product information management for the Shopify side.

What happens to my products if I stop using the PIM?

They stay in WooCommerce. The PIM created normal WooCommerce products, so the store keeps working, and you go back to editing them in the WooCommerce admin.
